Recruitment Module - Streamline your Recruitment Processes
The overall function of the recruitment module is to reduce the back office workload on recruiting staff. The system manages external recruitment saving time and money.

The system allows for both online applications and manual applicant entry. When a recruitment process is created a unique URL and remote application form will be created in our MY Recruit Gateway.
This URL can be referenced as a hyperlink on any online recruitment sites that attract applicants or used on a company website in a jobs area/form.Recruitment Module

When an applicant is redirected to the MY Recruit URL they will be able to complete and online job application including any cover letters / Resume or CV’s. Periodically the MYstaff application will automatically transfer new applications from MY Recruit to the client MYstaff application including all attachments.

The recruiter is then free to use MYstaff recruiter tools to send out and track correspondence (by email or letter), create a shortlist, schedule and record interview results and, with a successful candidate convert them to an employee with a few mouse clicks.

Recruitment Processes
- The system allows for an unlimited number of recruitment processes, it also allows for multiple hires within a single process. This is very useful for large clients with high volume recruitment.

Applicant banding -
Once an application is reviewed a system of banding is used to add recruitment comments and notes as well as standardise the assessment of application suitability to the job. It allows mass actions to quickly occur based on certain bands and other filters.

Interview Scheduling -
Applicants can be measured against the main job requirements and an interview list created. This process should assist any legal challenges as wells as assisting time management.

Correspondence Management -
The system allows an unlimited number of custom mail merge notifications to be created and sent to applicants via email or a printed PDF saving enormous time and speeding the recruitment process.

- Web pages can be linked to external job search engines

Training Module - Ensures your company has the right skills today, and for the future
This module is suitable for managing a company’s training and development program, including both internal and external courses. This will help control training costs, reducing training administration overhead and improving productivity through better trained staff.

Courses
- Permits a company to create new courses or classes and link them to skills which will be updated as a result of successful completion of a course. All details of the courses and classes are kept on the system, including times and costs, and can be used to determine training time and costs across departments etc.Training Module

Enrolment
- Applications for a course can be performed on-line by an employee, their manager, departmental managers or human resources administrators – or any combination of them. In addition administrators have the ability search for employees that require certain training and complete batch enrolment.

Class Management
- As employees are enrolled into a class they are added to the class attendees and auto-emailed the class details. If the numbers in a class exceed the maximum number of attendees, they are put on a wait-list. 

Training for Skill Gaps
- An administrator may also find employees in a department or group with a particular skill gap and perform a batch enrolment for a pertinent course.

Skill Gap Management
- Information needed to run the training module is collected from other parts of the MYstaff integrated system. The system can automatically compare all of the skills of an employee against a job’s requirements and perform a job gap analysis. This analysis compares employee skill levels against those required for the job. Where a skill gap is found, or the particular skill is outdated, or certification has lapsed, courses will be found that can close the gap.

Record Keeping
- Course details are entered on the employee’s training record, once the course has been booked. When the course is finished, the system will automatically update the employee’s skill information to the level provided by the course.
Performance Module - Retain and develop your talent
The performance module is designed to create agreed tasks and set agreed performance expectations / targets (called Key performance Indicators or KPI’s) against which their performance will be measured. The aim is to lift overall company performance by working through individual employees based on the premise that all goals are linked back to the company plan.

The system is based around regular review and feedback so that any productivity shortfall can be addressed before it becomes an issue.
Work Plans are areas where short to medium term KPI’s are set out and agreed with the supervisor. Work plans can be created at the employee, team and company level and can be used as a guide for awarding profit share. As they are completely transparent it also reduces unrealistic expectations or conflict at review times.

Review dates
- Review dates are set and the system can produce alerts to ensure that feedback takes place on a regular basis.Performance Module

Summary -
As work plans and associated targets cover a multitude of areas the summary for allows managers to consolidate and rate the overall performance of the employee.

Feedback -
This area is a formal area to record formal review feedback from the employee and manager and records any agreed improvements or development items for the next review.

Career / Succession -
This form is used to set employee succession and career development information.

360 degree feedback
-Where feedback is required from more than the immediate supervisor the MYstaff 360 degree feedback system can be used to get peer group review. Administrators can setup an unlimited number of performance areas and questions.

Performance History -
Performance history is kept online and can be reviewed at assessment time to discuss past performance in light of current performance assists managers in setting new performance targets.
OHS & Rehabilitation Module - Improve workplace safety through full circle OHS Management
MYstaff's OHS (Occupational Health and Safety) module is designed to provide a formal system to ensure continual improvement in OH&S management. It helps to reduce the risk of accidents and injuries, improve workplace safety efficiency as well as providing companywide OHS visibility/reporting and improves regulatory compliance.

Store health details and health check review dates
- Manage employees with medical conditions with reduced risk.

Accident and Incident reporting
- Accidents and incidents can be reported online. This allows accident and incident Occupational Health and Safety Managementstatistics to be viewed at any time.

Detailed Incident Analysis
- The system takes supervisors and OHS officers through a step-by-step process to identify causes of the accident or incident and assess the incident risk and record and track actions that could either reduce or eliminate the risk.

Search function on Incidents
- The incident search facility allows OHS officers to identify if similar incidents have occurred before and they can be viewed online to assist with the identification of new accident strategies to minimize risk

Actions
- Any actions required from the incident investigation can be recorded and tracked to ensure they are completed e.g. purchase safety equipment and warning notices

OHS Reporting
- Tracks OH&S accidents and incidents and provides strategic information to help improve OH&S standards and procedures.

Tracking Rehabilitation
- Helps in getting employees back to work faster by setting out and tracking rehabilitation plans.
